Privacy Policy

This explains, in plain English, what personal information Surface Magic Repairs Ltd receives through this website and our enquiry channels, why we use it, and what you can ask us to do with it.

Who we are

Surface Magic Repairs Ltd is the controller of the personal information described here. We are a company registered in England and Wales, company number 10697713.

If you have a question about this policy or about your information, contact us using any of the details above and it will reach the person who handles it.

What information we receive

We only ask for what we need in order to assess a repair and, if it goes ahead, carry it out. In practice that is:

  • Your name and the contact details you give us — telephone number and email address.
  • The full address and postcode of the property or site where the repair is needed, because assessment, travel and access all depend on it.
  • Details of the item and the damage — what the surface is, what happened, its age and condition, and any access or timing constraints.
  • Photographs you send us of the damage and of the wider item or area. These are the single most useful thing for judging whether repair is suitable.
  • Your correspondence with us — enquiry messages, emails and notes of telephone calls.
  • Quotation, booking, job and account records, including what was quoted, what was carried out, invoices and payment records.
  • For business and commercial clients: the names, job titles and work contact details of the people we deal with, plus site contacts and any site or access requirements.
  • Basic technical and preference information from this website, including the cookie choice you make and the information your browser sends when it requests a page.

We do not ask for special category data (such as health information) and we do not need it. If you choose to tell us something of that kind — for example that a repair is needed because of a vulnerable occupant — we will only use it to carry out the work safely and appropriately.

Why we use it, and our lawful basis

  • To answer your enquiry and prepare a quotation. This is a step taken at your request before any contract, and it is also in our legitimate interest to respond properly to people who contact us.
  • To carry out accepted work. Where you accept a written quotation, we use your information to perform that contract — scheduling, attending, completing the repair, invoicing and dealing with aftercare.
  • To run and improve our business. Keeping job records, protecting our position in the event of a dispute, and understanding which types of repair we are asked about, all rely on our legitimate interests. We balance that against your interests and use the minimum information needed.
  • To meet legal obligations. Accounting, tax, insurance and health and safety duties require us to keep certain records.
  • Where you give consent. Optional third-party content on this website only loads if you allow it, and we only use photographs of completed work as examples where the customer has agreed to it. You can withdraw consent at any time.

Who we share it with

We do not sell personal data, and we do not share it for anyone else’s marketing. We share information only where it is necessary:

  • Service and technology providers who help us operate — our website and hosting, email, telephony, the TradeHQ enquiry and booking system, and our accounting and payment providers. They act on our instructions.
  • Google, where you use our embedded map or read or write a review, and ReputationHub, which supplies the live review feed shown on our reviews page. Reviews you publish on Google are public and controlled by you and by Google, not by us.
  • Professional advisers such as accountants, insurers and, if ever needed, legal advisers.
  • Public authorities, regulators or others where the law requires or permits it, or to establish or defend legal claims.
  • Anyone you ask us to deal with on your behalf — for example a landlord, managing agent, main contractor or insurer.

Some of these providers operate internationally, so information may be processed outside the UK. Where that happens we rely on the safeguards those providers put in place for international transfers, such as approved contractual terms.

How long we keep it

We keep information only as long as we need it for the purpose it was collected for, and for as long as we are required to keep it by law. Enquiries that do not proceed are kept for a shorter time than records of completed work, and financial records are kept for the periods required for tax and accounting. We do not set arbitrary fixed periods in this policy; if you want to know how long we hold something specific, ask us and we will tell you.

Keeping it secure

We limit access to the people who need it, use reputable providers with their own security controls, and take care with photographs and address details, which are the most sensitive things we routinely handle. No system can be guaranteed completely secure, so please do not send us documents or details we have not asked for.

Your rights

Under UK data protection law you can ask us to:

  • Give you a copy of the personal information we hold about you, and tell you how we use it.
  • Correct information that is wrong or incomplete.
  • Delete information where we no longer have a good reason to keep it.
  • Restrict or object to how we use it, including where we rely on our legitimate interests.
  • Provide certain information in a portable format, where that right applies.
  • Withdraw consent where we relied on consent, including your cookie choice.

Contact us using the details above and we will respond within the time limits the law allows. There is normally no charge.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator, at ico.org.uk.

Cookies and this website

Our cookie policy explains the single essential preference we store and the optional third-party content that only loads if you allow it. You can change your choice at any time using “Manage cookie settings” in the footer.

Changes to this policy

We review this policy when the website or the way we handle enquiries changes. This version was last updated on 11 August 2026. It is a plain-English website draft prepared for review before launch and is not legal advice.
